How to Plan a Corporate Headshot Day
Short answer
To plan a corporate headshot day, choose a quiet room with space and power, give each person a short scheduled time slot, tell employees what to wear a week ahead and agree on how the finished files will be delivered.
Pick the space
A conference room or open area with room for a background and lighting works well. Choose a spot that is quiet, away from foot traffic and near an outlet.
Build the schedule
Assign each person a slot so nobody waits in line. Team headshots at Trestles Media are priced per person ($75), so headcount determines the budget and the day length.
Communicate with employees
- Share the date, time slot and location.
- Send wardrobe guidance a week ahead (see our guide on what to wear).
- Let people know how they will receive their files.
- Mention any grooming or accessories you would like them to consider.
Agree on the deliverables
Decide how many finished images each person receives, where the files will be used and whether you want a consistent crop for a website grid. Files are delivered through a private gallery in 5–7 business days, with rush available.
